  • Transaction history;
  • Purchase records.

ScientiMax does not store complete credit card information on its own systems. Payment card information is processed by third-party payment service providers.

Policy Acceptance and Compliance Records

  • Records of acknowledgement and acceptance of ScientiMax policies;
  • Timestamps of acceptance;
  • Account identifiers;
  • Policy version information;
  • IP addresses associated with acceptance events.

ScientiMax takes reasonable contractual and organizational steps to promote privacy and security protections that are appropriate in the circumstances. However, privacy protections available in foreign jurisdictions may differ from those available in British Columbia or Canada.

ScientiMax may use cookies, pixels, analytics tools, and similar technologies to:

  • Analyze website traffic and performance;

If ScientiMax becomes aware of a security incident involving personal information, we will take reasonable steps to investigate, contain, and mitigate risks associated with the incident.

Where a security incident creates a real risk of significant harm to an individual, ScientiMax will notify affected individuals and the Office of the Information and Privacy Commissioner of British Columbia in accordance with the requirements of the Personal Information Protection Act (British Columbia).

Notification will include information regarding the nature of the incident, the categories of personal information involved, and the steps being taken by ScientiMax to address the incident and reduce the risk of harm.

11. Retention of Personal Information

ScientiMax retains personal information only for as long as necessary to fulfill the purposes for which it was collected.

The following approximate retention periods may apply:

  • Student and academic records: seven (7) years following course completion or the end of the student relationship, unless a longer period is required by law;
  • Payment and transaction records: seven (7) years from the date of the transaction;
  • Learning activity and usage data: up to twenty-four (24) months from collection unless retention is required for an ongoing dispute, legal proceeding, or compliance obligation;
  • Policy acceptance and compliance records: seven (7) years from the relevant transaction or enrollment date;
  • Technical and website access logs: up to twenty-four (24) months from collection; and
  • Marketing consent records: for the duration of the relationship and for a reasonable period thereafter sufficient to demonstrate compliance with CASL.

When personal information is no longer required, it will be securely destroyed, deleted, anonymized, or otherwise disposed of in accordance with applicable requirements.

12. Access and Correction

Individuals may request access to personal information held by ScientiMax and may request corrections to inaccurate or incomplete information, subject to legal limitations and identity verification requirements.

Requests should be submitted in writing to the Privacy Officer.

ScientiMax will respond within the timeframes required by applicable law.

13. Marketing Communications

ScientiMax may send commercial electronic messages regarding programs, services, events, educational opportunities, updates, or promotions only where permitted by applicable law and where appropriate consent has been obtained.

Recipients may withdraw consent and unsubscribe at any time by using the unsubscribe mechanism included in the communication or by contacting ScientiMax directly.

ScientiMax maintains records of marketing consent where required for compliance purposes.

14. Adult Services

ScientiMax’s educational services are intended primarily for adults who are capable of entering into legally binding agreements.

If ScientiMax becomes aware that personal information has been collected from an individual where legally required consent was not obtained, we may take reasonable steps to remove such information where appropriate.

15. Changes to this Privacy Policy

ScientiMax may update this Privacy Policy periodically to reflect changes in legal requirements, business practices, technologies, or services.

Updated versions will be posted on the ScientiMax website together with a revised effective date.

The version of this Privacy Policy in effect at the time personal information is collected, used, or disclosed shall govern that activity unless otherwise required by law.

16. Privacy Complaints

Individuals who have concerns regarding ScientiMax’s privacy practices may submit a written complaint to the Privacy Officer.

ScientiMax will investigate privacy complaints in a reasonable and timely manner and will take appropriate steps to address substantiated concerns.

If an individual remains dissatisfied following ScientiMax’s response, they may contact the Office of the Information and Privacy Commissioner for British Columbia.
