Academic Integrity, Assessment, and Artificial Intelligence Policy

ScientiMax Learning Programs Inc. (“ScientiMax”, “we”, “us”, or “our”) is committed to maintaining the integrity, credibility, fairness, and educational value of its courses, assessments, simulations, micro-credentials, certificates, and learning activities.

This policy establishes standards relating to academic integrity, assessment conduct, artificial intelligence use, plagiarism, cheating, misconduct investigations, reassessment procedures, and credential validity.

The objective of this policy is to ensure that certificates, records of completion, assessments, and competency evaluations accurately reflect a student’s own knowledge, skills, judgment, and performance.

1. Scope

This policy applies to:

• Students;
• Prospective students participating in assessments;
• Former students seeking credential recognition;
• Participants in simulations; and
• Any individual participating in ScientiMax educational activities.

This policy applies to:

• Assignments;
• Quizzes;
• Examinations;
• Simulations;
• AI-powered patient encounters;
• Competency assessments;
• Practical exercises;
• Projects;
• Case studies; and
• Any other evaluative activity administered by ScientiMax.

2. Academic Integrity Principles

Students are expected to:

• Complete assessments honestly;
• Represent their own work accurately;
• Demonstrate competency independently unless collaboration is expressly authorized;
• Respect assessment rules and instructions;
• Avoid gaining an unfair academic advantage; and
• Support a culture of honesty, fairness, and professionalism.

3. Academic Misconduct

Academic misconduct includes any conduct that compromises the integrity, fairness, validity, or reliability of an assessment.

Cheating

• Using unauthorized resources during an assessment;
• Receiving unauthorized assistance;
• Sharing answers with other students;
• Accessing assessment materials improperly;
• Circumventing assessment requirements; or
• Collaborating without authorization.

Plagiarism

Plagiarism includes presenting another person’s work, ideas, words, analysis, or intellectual property as one’s own.

Examples include:

• Copying written content without attribution;
• Submitting another person’s work as one’s own;
• Improper paraphrasing;
• Reusing prior work in a misleading manner; or
• Copying assessment responses.

Contract Cheating

Contract cheating includes obtaining assessment responses, assignments, projects, simulations, examinations, or other academic work from another individual, commercial service, artificial intelligence service, tutoring service, content provider, or any other third party for submission as one’s own work.

Impersonation

• Completing assessments for another individual;
• Permitting another individual to complete assessments on one’s behalf; or
• Misrepresenting identity during any educational activity.

Fabrication and Falsification

• Inventing assessment information;
• Altering records or submissions;
• Falsifying participation or results; or
• Misrepresenting competency.

4. Artificial Intelligence Use

Unauthorized AI Use

Unless expressly authorized by ScientiMax, students shall not use artificial intelligence tools, language models, automated writing systems, automated reasoning systems, or similar technologies to:

• Generate assessment responses;
• Complete assessments on their behalf;
• Produce work intended to be represented as the student’s own;
• Circumvent learning objectives;
• Misrepresent competency;
• Obtain an unfair academic advantage;
• Use AI-generated responses without disclosure where disclosure is required;
• Submit AI-generated content as personal work where AI use is prohibited; or
• Use AI systems during assessments where such use has not been expressly authorized.

Authorized AI Use

Where AI use is expressly permitted for a specific activity, ScientiMax will communicate that authorization clearly within the relevant course materials or assessment instructions.

Where AI use is authorized, students must:

• Follow all instructions and parameters communicated by ScientiMax;
• Disclose AI use where required;
• Remain responsible for the accuracy and integrity of all submitted work; and
• Ensure that AI assistance does not exceed the scope of what has been authorized.

5. AI Patient Simulator and Competency Assessments

ScientiMax may use AI-powered patient encounters, virtual simulations, automated scoring systems, and competency evaluation technologies as part of its educational delivery and assessment processes.

Students must:

• Participate honestly and in good faith;
• Complete simulations independently unless otherwise authorized;
• Avoid manipulating simulation systems or outcomes;
• Avoid attempting to exploit, probe, jailbreak, reverse engineer, or circumvent simulation or assessment mechanisms; and
• Refrain from using external assistance during assessments unless expressly permitted.

Simulation performance may contribute to:

• Course completion decisions;
• Competency evaluations;
• Certificate issuance decisions; and
• Credential validation.

6. Assessment Security

Students shall not:

• Record assessments by any means;
• Capture screenshots or images of restricted assessment materials;
• Share assessment questions, answer keys, or assessment content with others;
• Distribute assessment materials to third parties;
• Upload assessments to websites, repositories, AI systems, social media platforms, or third-party services; or
• Retain assessment materials where prohibited.

Assessment materials remain the intellectual property of ScientiMax and are subject to the ScientiMax Terms and Conditions.

7. Assessment Verification

Where ScientiMax reasonably believes that submitted work may not accurately reflect a student’s own competency, knowledge, skills, judgment, or performance, ScientiMax may require the student to participate in an additional oral review, interview, simulation, practical exercise, competency verification activity, or reassessment.

Failure to participate in a reasonably requested verification activity may result in assessment invalidation or other academic consequences.

8. AI Detection and Academic Review

ScientiMax may use AI-detection technologies, plagiarism-detection systems, similarity reports, activity records, assessment analytics, simulation analytics, and other academic integrity tools.

AI-detection results alone will not automatically establish academic misconduct and will be considered together with other relevant evidence.

9. Investigation of Academic Misconduct

Where ScientiMax reasonably suspects academic misconduct, it may:

• Review submissions and assessment records;
• Review platform access and activity logs;
• Review AI assessment and simulation records;
• Review communications and correspondence;
• Request written explanations from the student;
• Conduct interviews with relevant parties; and
• Consider any other relevant evidence.

Investigations will be conducted fairly, impartially, and in good faith.

Students will be provided an opportunity to respond to relevant findings before a final determination is made, where reasonably practicable.

ScientiMax prohibits retaliation against any student who reports suspected academic misconduct, cooperates with an investigation, or requests a reassessment or review in good faith.

A student who believes they have experienced retaliation may report this concern to in**@********ax.ca.

10. Findings and Academic Consequences

Where academic misconduct is substantiated, ScientiMax may impose one or more of the following consequences, proportionate to the nature and severity of the conduct:

• Written warning;
• Educational intervention;
• Assessment invalidation;
• Reassessment requirement;
• Grade adjustment;
• Failure of an assessment;
• Temporary suspension;
• Removal from a course or program;
• Revocation, suspension, correction, or invalidation of certificates, badges, micro-credentials, or records of completion; or
• Legal action where appropriate.

11. Reassessment and Manual Review

Students may request a review of:

• Assessment results;
• Simulation outcomes;
• AI-generated scoring; or
• Technical errors that may have affected performance.

Requests must be submitted in writing to in**@********ax.ca within sixty (60) calendar days of receiving the assessment result.

ScientiMax will acknowledge receipt of a reassessment request within five (5) business days and will endeavour to provide a decision within fifteen (15) business days of acknowledgement.

Where additional time is required due to the complexity of the matter or the nature of the review, ScientiMax will notify the student and provide an updated timeline.

A reassessment or manual review is not automatically granted and remains subject to ScientiMax’s academic judgment.

ScientiMax may conduct a manual review by a qualified instructor, evaluator, administrator, or designated representative where appropriate.

12. Credential Integrity

Certificates, badges, micro-credentials, records of completion, and related credentials are issued based on successful completion of ScientiMax requirements.

ScientiMax reserves the right to:

• Verify credential validity at any time;
• Correct administrative errors;
• Temporarily suspend, flag, restrict, or withhold credentials pending investigation; and
• Revoke credentials obtained through misconduct, fraud, or material misrepresentation.

Where reasonably practicable, affected individuals will be provided an opportunity to respond before a credential is revoked, suspended, restricted, or invalidated.

13. Appeals

A student who disagrees with an academic misconduct finding or academic consequence may submit a written appeal within sixty (60) calendar days of the decision.

Appeals must be submitted in writing to in**@********ax.ca and should identify:

• The decision being appealed;
• The grounds for the appeal; and
• Any supporting information or documentation.

Appeals will be reviewed by an individual who was not the primary decision-maker in the original matter, where reasonably practicable.

The appeal decision shall be final within ScientiMax’s internal processes.

Following the conclusion of ScientiMax’s internal appeal process, students may seek guidance from Consumer Protection BC for consumer-related matters.

14. Confidentiality

ScientiMax will make reasonable efforts to maintain the confidentiality of academic misconduct investigations, reassessments, appeals, and related proceedings.

Information may be disclosed where reasonably necessary to conduct an investigation, enforce policies, protect academic integrity, respond to legal requirements, protect participant safety, or protect ScientiMax’s legal rights and interests.

15. Records Retention

ScientiMax may retain:

• Assessment records;
• Investigation materials;
• AI evaluation and simulation records;
• Appeal materials;
• Credential records; and
• Related documentation for up to seven (7) years following completion, revocation, or resolution of the matter, or longer where required by law, regulatory requirements, litigation holds, or ongoing legal proceedings.

16. Statutory Rights

Nothing in this policy limits, excludes, waives, or replaces rights or remedies available under applicable consumer protection, human rights, privacy, contract, or other legislation.

Where applicable law requires a different process or outcome, ScientiMax will comply with that legal requirement.

17. Governing Law

This policy shall be governed by and interpreted in accordance with the laws of the Province of British Columbia and the applicable laws of Canada.

18. Policy Updates

ScientiMax may revise this policy from time to time to reflect changes in legal requirements, business practices, technologies, or educational standards.

Updated versions will be published on the ScientiMax website and become effective on the date specified in the revised version.

The version in effect at the time of the relevant assessment or conduct shall govern the matter unless otherwise required by applicable law.
